Convert unevenly spaced list to table [Data from Hell]

Introducing Data from Hell:

Watch out, its data from hell. In this new video series, we are going to look at some nutty, frustrating and fun data reshaping challenges and solve them using Excel. We will use Power Query, Formulas, VBA or other features as needed to free this data from damnation.

For our first installment, let’s reshape unevenly spaced list of values to a table.

Unevenly Spaced List -> Tabular format

Let’s say you have a list with some values. They are separated by blank cells. You want to convert this to a table, so related values are on same row. But the table can have any number of columns depending on how big the chunks are.

Something like this:

Enter Power Query (Get & Transform Data)

You guessed right. This data is too much out of whack for formula based solution. So let’s reshape it using Power Query aka Get & Transform Data.

The process goes like this:

  1. Load the data in to query editor
  2. Replace nulls (blank cells) with something that is not part of your data, like %^%
  3. Using Text.Combine, concatenate all values to a single value, separated by some symbol that is not part of data, like =
  4. Convert this single value to a table and split by the symbol used in step 2.
  5. Calculate number of = symbols in each row using Text.Length and Text.Replace functions in to a new column
  6. Figure out the maximum of this new column as a variable. Name it as MaxCols
  7. Remove the extra column created in step 5
  8. Split the first column by delimiter set in step 3 with number of columns set to MaxCols.
  9. Load data back to Excel.

As this process requires a bit of tinkering with Power Query functions and a few false starts, I made a tutorial. I woke at 4AM to record this. Just kidding, I woke up because my nose was all blocked up and couldn’t go back to sleep. So I opened up Excel for some play and recorded this.  Check it out below.

    This will generate a table of counts of Friday the 13th's by year. If I didn't screw it up the next year with three is 2026.

    I created a simple parameter table with a start date and end date that I wanted to evaluate. That calculates the number of days and generates a list of those days. Then filter and group. The generation of the list in power query (i.e. without populating a date table in excel) is pretty cool, otherwise this isn't really doing anything than creating a big date and filtering/counting.

      With the parameters replaced by values should you want to play along at home. This runs for 20 years starting on 1/1/2016.

      It should be pointed out that Alex's solution, unlike some others, has the additional advantage of being non-array. My solution was nearly identical but with -- and SIGN instead of N and 1^.

    I've a doubt with using array formula here.
    In sample workbook, I tried to replicate the formula again.
    =IFERROR(SMALL(IF(WEEKDAY(DATE($C$3,ROW($A$1:$A$12),13))=6,ROW($A$1:$A$12)),$B7),"")
    For this I selected C7 to C12, and typed the same formula and pressed ctrl+alt+Enter. But in all cells it is taking $B7 (and not $B7, $B8, $B9.... etc)
    and since it is array formula I can't edit individual cell.
    Please guide.

    Hi Chandoo,
    Cool stuff. You need to clarify that the answer of 5 represents the 1st month in the year that has a Friday the 13th, and not the number of Fridays the 13th in the year. Subtle, but important difference.

    I like the MMULT() function far more, but here's how I would have tackled it. It uses an EDATE() base and MODE() over 100 years. I'm assuming that 100 years is enough time to catch the next year with 3 friday 13th's. Array entered, of course.
