Which tool to use to track MIS reports?

Hello,

We have a list of reports daily/weekly/monthly which should be sent to different departments and many a times a single report is sent to multiple departments.

Please suggest which tool/format to be used to track the reports to be sent so that it is helpful to manage all the reports.
