Hyperlinks: to open an email in a template

Thanks for a very helpful site. I read your tips on hyperlinks.

Can you show me if it is possible to click on a hyperlink in excel and create an email using a template?

By this I mean we create a data sheet of names in excel which includes the email address. We are an accommodation business and once a customer has booked we have a template stored in Outlook which provides the accommodation rules. We call it up, copy it to a new email and put in the customer’s name and attach a receipt. Then send it. It would sure save time if I could direct the hyperlink to open that template (it could be stored as a word doc) and then email it.

Kind regards

Mal

Can you create a regular hyperlink to the template document? I'm thinking that if you have something like an template Outlook message saved somewhere, just create a hyperlink in XL to that document.

Thanks a lot for the suggestion Luke. I tried that and it would not work. Obviously I did something wrong. The process I used in steps is

Copy the template in Outlook and save it as a word doc.

Click on the email address in excel and open hyperlink

Create a new document

File path to target the document in word

I cannot get it to open an Outlook email with the template showing in the body.

Basically what I am trying to do is send an email where the body of the email is the template that I have saved in word.

Do you have any suggestions on how I can do that please?

Thanks

Mal

Hi, MalR!

I've done a few things with Outlook but never used a Word document as a template for a new mail. Would you please describe step by step how would you achieve that manually from Outlook?

That's to say, click here, do that, select this, ... and so on.

Regards!

Thanks for your help Sir JB7.

Our business is in tourist accommodation. Our current process is to put the customer's details into an excel database when they book with us. We take a deposit (EFTPOS) and create a deposit file in MYOB.

In Outlook I have a template stored which gives the rules of our premises. It is stored in Drafts.

I call it up, copy it to a new email (so it does not get deleted) and I add some personal details (name etc) to it. I then attach the MYOB receipt to the email and send it.

This is slow because if I have 5 receipts to send it means I have to copy the template to 5 different email pages.

What I would like to do is; The excel database contains their email address. I would like to open the hyperlink in excel. That function seems to have a lot of options including "create a new document". By clicking on the hyperlink it opens a blank email addressed to that person. I had hoped that I could get it to open my template rather than open a new blank email because it still means I have to copy my template into that page.

I have played around with the function "create a new document"

with no success. My comment earlier about the word doc was that I could easily store the template in word if it is easier for the program to open it rather than in Outlook. Plus it is much easier to point it to a word file than to try to find the Drafts file in Outlook.

In summary all I would need to do then is to click on an address in the hyperlink, it opens showing my template wording, attach the receipt and send it. Far quicker than the way I am doing it now.

I would be grateful if you have any suggestions. I guess it can be done using VBA but I am not overly proficient in that so if you have any suggestions that involve that could you list the steps clearly for me please.

Thanks for your help

Mal
