Excel and Powerpoint 2010 - Keeping the data with the ppt. file

In older versions of ppt when you clicked on a chart the data always showed up in an excel chart. Now it saeems that this doesn't always happen. When I create a chart in excel and then paste it into ppt, the data is linked but if I e-mail that ppt file to someone else they don't seem to be have access to the data.


I would like to be able to have an excel file with multiple charts which is linked to an ppt but where the ppt. can be sent easily and the data worked on by someone else. What is the easiest way of doing this.

Before, PowerPoint would by default embed an XL file when you did a basic paste of a chart from XL. This led to file bloating as it was creating a new workbook for every chart that was pasted.


In 2010, the default was changed, as you noticed to just be a link. If you want to embed the file, when you go to Paste, go to Edit - Paste Special, and choose to embed the workbook.
 
Thanks Luke. So, if you have multiple charts you can use one embedded excel sheet with all your charts and thereby keep the bloat to a minimum?
 
Unfortunately, no. Each chart would have it's own embedded workbook. To reduce some size, you could split each chart & data into a separate workbook before copying into PowerPoint.


EDIT: This is at least the case up to 2007. I'm unsure if PowerPoint 2010 has the option you describe...if so, it would definitely be a nice improvement.
