Resource Planning - scheduling attendance

I would like to build a model that helps me plan for the following:


- we operate a Childcare centre (some of you may be more familiar with the terms of Kindergarten or Preschool) from the ages of 6 months to 5 years

- we can accommodate a maximum of 37 children on any one day, however only 12 of those can by under 2 years of age on any one day (12 under 2 and 25 over 2)

- children can attend for a minimum of 2 days per week through to 5 days per week, and when not attending 5 days per week, can attend any days of the week assuming we have capacity to accommodate them

- when children turn 2 years old they now become one of the 25 over 2 years old quota and we then have a vacancy for an under 2 child

- we know the birthdays of all children so know when they will be turning 2

- we operate a waiting list for new children and we know when they would like to start, what days of the week they'd like to attend, and their date of birth/age


I would like a model, which visually could be a chart of some sort which shows me the following, and helps me plan for:

- how many children, by age group (under or over 2) who a attending each day of the week for at least the next six months split by under 2 and over 2

- when an under 2 child is going to turn 2 and therefore I have to find a spot for them in the over 2 quota plus I now have a vacancy in the under 2 quota

- when children on our waiting list can possibly start ie taking into account the above information, when is the soonest we can accept their application


I could do this longhand on a very large piece of paper, but I am certain there is a smarter way to do it in Excel


Any ideas and/or suggestion?

Do you happen to have the data in the form of an Excel workbook ? If so , can you upload the file ?


If not , can you enter data for 5 to 10 children and then upload the sample file ?


Having the data before us , will make it easier to understand your requirements.

This forum does not have a provision for either uploading files or attaching files to posts.


What you can do is to use your preferred file-sharing website ( RapidShare , Hotfile , DropBox , SkyDrive , GoogleDocs , SpeedyShare ... ) to upload your file , give others permission to access and download the file , and then post that access link here , in this same topic.

The application is a wonderful one ; I don't think it can be done without VBA ; is this acceptable to you ?

So what is the first thing you would like to be done with whatever sample data you have uploaded ?


If you can list down all the things you would like to be done , and mail me at narayank1026[at]gmail[dot]com , I can then sort them in order of simplicity , and you can confirm whether that order suits you.
