Multiple access to same workbook..

Hi All,

I have a quick question for all of you.

I have a spreadsheet which has three tabs

Tab1: Home page

Tab2: Input data(with fixed number of columns and varied number of rows)

Tab3: dashboard (containing dynamic charts, and other reports). In tab3, data is updated according to the input data in tab2.

Now, there are 12 user of this workbook( 10 users are analysts and 2 users are managers).

I have made the tab3 only restricted to managers and tab2 to all other 10 users.

My question is, how can I make multiple users access to this workbook?

Please note the following:

1) for a particular week, only one analyst access to the tab2 of this workbook to update the information.

2) Now say, an anlyst open the workbook and enter into the tab2 and keep it open for his/her entire shift to update the info from e-mails.

Now a manager opens the same workbook and gain access to the tab2(dashboard).

How can I make these two scenarios possible?

I can keep the workbook in shared drive but can not put the workbook under shared mode because codes will not be viewable at that case.

Any suggestions or thought would be greatly appriciated.

Regards,

Kaushik

Hi Kaushik

as per my understanding you want to create secure base protect workbook using with user id and passwords for access sheets if it is right then please download the file

https://dl.dropbox.com/u/75654703/AccessSheetsWithLogin.xls

I hope it will give some idea for modification of your work book

when you open the work book it will prompt for a user id and password you just give the user id is = admin and password is = pass

Thanks

Hi SP,

Thank you for your quck reply.

Perhaps I was not clear on my requirement.

I want mupltiple users to access the same workbook at the same time but will have access to different sheets.

I have already taken care of the "userID password method" to restrict users to specific sheets.

But not sure how can I make the multiple access at the same time for the same workbook.

Hi Kaushik

Can you please explain some more details i mean what type of codes you are using in your workbook and when you are going to share the workbook then they are not activated in the shared workbook

Thanks

Hi SP,

Codes are simple....related to worksheet navigation, simple user form related codes (the way u did it). But when I put the workbook under shared mode " it says macros are not visible".

Is it really possible to make mupltiple users' access to the same workbook at the same time to different sheets? That is my question is all about...

Hi Kaushik

As per my knowledge when we share the work book which was used with macro and VBA then excel file is just warned us as macros are not visible it means when the workbook is in sharing mode then we can't change any VBA codes & formulas and un protect sheet but our workbook will do the shame work as like in normal mode

When we want to change some formulas and want to add the some more vba functions then firstly we have to remove the sharing option and we can add our future requirements

because i did some workbook using with formulas, userforms, Command Buttons and more it's working fine for me

Thanks

Hi SP,

It was some problem in my worksheet w.r.t. conditional formating(with formulae) due to which the code was not running....it was really nothing to do with "shared mode".

The problem is solved.

Thanks for all your help so far....

Kaushik,

You should think of Database tool e.g. MS-Access. Excel is not exactly a database tool.

If you've MS-Access installed then look for Northwind template on MS-Online templates. It will give you good idea of working out your approach.

Hi Shri..

Thank you for your valuable suggestion.

I am actually not very much conversant with MS-Access.

However, as suggested, I will start learning "Access" from begining.

Let me know if you have any good e-book or online training vedios link for the same.

Thanks for directing me on the right path.

Kaushik

I have "Access 2007: Missing Manuals" paperback by Matthew McDonald. Its half read as I didn't have any activity which would require MS-Access. But it was good book to get acquainted with MS-Access (at least for the part I read). It cost me around INR. 450 (some 10% discount). Not bad deal. You may think of buying it.

There are few forums (especially compared with excel) for access. So you shouldn't be alone should you come across difficulty.
