I administer a spreadsheet for a non profit organization that sends packages to soldiers overseas. about 7 times a year we send packages to the troops and before each mailing, I send an email to the "sponsor" asking if the troop is still overseas and do I still have the correct mailing address.

my columns are:

Expected to return home,

Comments,

RANK,

FIRST NAME,

LAST NAME,

ADDRESS Line 1,

ADDRESS LINE 2,

ADDRESS LINE 3,

CITY,

ST,

ZIP,

NAME FROM,

EMAIL OF CONTACT,

PHONE NUMBER OF CONTACT,


I have been trying to understand the "code" that is used when you click ATL+F11

but it is not computing in my head. I am new to Excel and using formulas and so be gentle please. :)


What I do now is sort by email address so I can have all troop names for the same contact name together. I click the email address and outlook will open an email. I made a signature that says everything I need to say with a spot for the troops names. I then cut the troop(s)name/address from Excel and put it in the correct spot on the email. I repeat for every different sponsor name.


I am hoping that this process can get automated a little better than what I have now.

any suggestions??

Thank you for your reply. I will read the posts you suggest to familiarize myself with the netiquette rules and also to search for answers first.

I have looked at your example and it it exactly what I need. I have saved it and will disect it to understand how it works. thank you again for taking the time to help me out.
