Complicated ordering process is killing us

Thank you in advance for supporting me on this, it’s a bit of a dilemma for me to execute!!


BACKGROUND
Our Customer has multiple manufacturing sites and a central head office.

The central head office submits a weekly LONG TERM FORCAST (LTF) of the products it wishes to order from us. This includes predicted orders for the next 12 weeks.

The manufacturing sites submit their individual (there are 6 manufacturing sites) SHORT TERM FORCAST (STF) of the products they require. They only plan their production from a week to week basis.

More often the LTF does not match the STF and causes time delays when we have to decipher the data. This takes a lot of man power!!!

We then manually go through the LTF and match is against the individual STF's so we can plan our production. We also need to check our stock holding/allocated order fulfilment of products to ensure we meet the demands of the customer.

There are approximately 1.5K products we manufacture for this customer, and some items are shared across the 6 manufacturing sites, which makes planning our production complicated to meet the individual site demands when they fluctuate the volumes.



What I imagine is we use the customers master LTF and build 6 sheets within where we can upload the individual STF's and then press a button that would populate 2 lists.

1. A ORDER list for us to manufacture against, which considers shared volume across the manufacturing sites and checking our stock levels (Our Stock levels are 2 fold, so added complications occur at this checking stage, more details below).

2. A DECREPANCY list that shows the items that conflict from the LTF against the STF's. We aim to share this with the customers head office to demonstrate the issues we have and also streamline the process at our side.



Our stock holding has an added complication, as our systems do not separate "Stock Held" V's "Allocated Stock". Allocated stock is reserved to meet the current live order, so for instance, our system will record Item 20989475 has 85K units in stock, but there was 2 orders place for 2 sites to take 25K and 35K for the current week, so realistically there is only 25K available as "Held Stock", but our system cannot separate these out. This is something we need to consider in the checking part of the stock held.



Please can you share any ideas or offer a helping hand in building this, im a bit on a novice and wouldn’t even know where to start!!!

Hi ,

Can you share workbooks containing the LTF and the STFs , in their present format , so that we can what kind of data is available , and whether restructuring the data layout of these can improve data processing for deriving the final report(s) ?

Even historical data would help.
