There are may ways to answer that question and many of them depend on the environment (corporate network, soho -small office home office-, home for personal use, ...).
There are many software specifically designed for automating backup procedures. You can check on the web googling for them.
There is always the manual way: copy file(s) & folder(s) to a network disk, to a removable device, burning them on DVD, ...
It'd be risky to answer that question without knowing the environment characteristics, the number and size of files/folders involve.
