Analyzing Text

Hi Everyone,

Before i begin asking the question, let me Thank Chandoo and all the excel Ninjas for making people awesome in excel. Its incredible to get solution to anything and everything that could make you awesome in excel. I have learnt a lot in many ways and i look forward to every newsletter to keep learning.

So, here is my problem. I am currently running an engagement survey in our organisation which would have approx 5000 or more respondents. My survey questionnaire has multiple choice questions and few open ended questions to understand whats working well for people and what needs more attention. While analyzing the multiple choice question responses is doable and there are different ways you can calculate engagement score, my concern is how do i analyze the text.
The questions being asked to people for their opinion for e.g. are what is working well for you and what can be improved or what can be done to make this a great place to work. The challenge is everyone has a different opinion and a point of view, responses differ for one person to another. Some may just say few words and some may just narrate their entire experience. Now there is no way that i want to manually analyze more than 5000 responses and see what people are saying against each question.
One way that i figured out was to list keywords and then can use array formulas but i do not know the keywords as its people's opinion and i do not know what majority of people are saying.

Many thanks!

Regards,
Harish

Hi Harish ,

Most such surveys , which expect people to give their opinion , generally provide ratings for people to select e.g. Most Likely to Agree , Likely to Agree , all the way to Most Likely to Disagree.

Unless you can quantify responses , Excel is not going to be of much help.

Thanks Narayan, actually the open ended questions are for people to express their views. and that's what is my challenge to find out whats coming out as a common theme/s. Hence, looking for a way out to do that through excel.

Hi Harish ,

I have my doubts , not that Excel may not be able to do it , but that what you are asking for is an AI program , which I doubt has been written in VBA.

It is logical that two people can say exactly the same thing using not only different words , but also a different number of words , so that what one person says in 10 , can be said by another in 100. Do you seriously think that using Excel you can decide whether or not they meant the same ?

Hi Narayan,

Absolutely correct, you've probably got what my pain is. The issue is that i am getting my data in an excel file exported out of the survey tool and i completely agree that people say similar things in different ways.
Now that i have data in excel, i need to find out how do i deal with this information. This certainly is very important information and will give lot of inputs to improve this at work place.
I definitely do not want to end up doing this manually by reading all the comments  so need some help to figure out a way.

Thanks Narayan for your help.

Regards,
Harish
